Georgian Yacht Club Directors Reports for Annual General Meeting

I hope all members found some solitude on their boats this past season during the trying times the world has been experiencing.
Your board of directors was busy again in 2020 and you can read more in the individual directors’ reports. Some notable projects are the addition of internet at the GYC and final approval of the South washroom building permit (now to get it built!)
Thank you for your patience during the high-water situation this past season and for those of you needing rubber boots to get to your boats from time to time. We have been busy over the winter working on a plan to upgrade some docks and this project will get going early this spring.
Some minor increases a were made to schedule “C” to keep up with our forever rising expenses and to ensure the future good financial standing of the GYC. We also decreased the storage and crane fees for associate members as a little incentive to those waiting to become full members.
The recent break-ins at the club are very unfortunate. For the short term we have hired a private security company to patrol the grounds 6 times during dusk till dawn, extended to north and south fences and installed 2-WiFi cameras. Discussions on future preventative measures are ongoing.
I remind all members to be aware of the club by-laws and rules and I would like to bring attention to a couple changes to said rules:
R17. Although always assumed “all ladders remaining on the premises must be locked” has been added to this rule
R21. Dry storage of vessels, on club property, in excess of 12 months from the day of the haul-out of the vessel, shall be at the discretion of the Board of Directors. (Previously 24 months.)

Launch and Haul-out Director & Rear Commodore, Mike Forcier
Dear Fellow Members,
This year, due to Covid-19, the Launch and Haul-out changed. Haul-out was substantially changed with 5 teams of 6 members, working on the haul-out of each boat. One team worked Friday October 23, 2020 afternoon. Two teams worked the morning shift on Saturday October 24 2020. One team was with the small crane and one with the large crane and a second crew work the afternoon shift from 11:30 to finish. Each boat owner attended to haul-out their boat and check and make it safe on the hard. We finished the day in record time and the crane operator said the day went much smoother and he believes safer because the crew knew what to do and did not change every boat, similar to Launch 2020. He also noted that without people standing around he did not have to be concerned about their safety.
Launch will be using the same system as last year, with a time schedule for the owner of the boat to attend at the club. We will have work crews working the morning and afternoon of May 8, 2021. The morning crew from 7:45 am until 11:30 am and the afternoon crew from 11:30 until last boats are launched. There will be a team with the large crane and one with the small crane. The committee meeting this year will be held on April 24 at 1:00 pm hoping it will be warmer to have the meeting outside in the picnic shelter. I need volunteers for the work crew. If you cannot make the meeting please e-mail me with your availability to work on a launch crew. Also, if you have any special request please be at the meeting or e-mail me with your request.
Special thanks to Becky Middlebrook for her help in preparing the Haul-out and Launch schedule and to Louise Johnsen getting the information to members. A new mast rack has been designed by Ron Downie and constructed by Ron Downie and Ed Griffith. Special thanks to them and their days spent on this project which really works well. THANK YOU RON and ED.

Dear Fellow Members,
First, I’m sure that all the Membership was as thrilled as I was to be able to enjoy our club and boats this past summer. With all the uncertainty and cancelled plans, it was nice to have the boats to enjoy with our family’s and close friends.
This past summer we had some challenges with high water. I would like to that the members for working through the issues this presented and all the hard work that Mr. Haslam did to make the best of it with the docks we had.
We have once again been able to keep the club full in 2020, there is one exception in the South basin. It’s a 30-foot dock but due to the assigned boat that shares the well, there is only about 6 feet of usable space. I’ll be reaching out to planning and grounds to come up with a solution.
During the beginning of the 2020 boating season, we were able to offer 6 new members docks off the B-list. We where also able to accommodate 7 members to re-assigned slips from the dock request list. This was the first time we did the approved mooring assignments virtually, and I’d like to thank all committee members for there assistance with that.
We had a few members buy larger boats in the past year. We are in the process of finding slips for those members. There are currently 15 dock requests from current members.
All in all, considering the strange circumstances that we had to deal with during 2020 we had a business, as usual season.

Communications and Newsletter, Louise Johnsen
Dear Fellow Members,
The November 2019 – October 2020 year was a busy one in terms of communications. There were a lot of emails sent out for the virtual AGM, the modified launch and haul out protocols, and general communications about COVID-19 such as accessing the clubhouse, public health guidelines etc.
The spring 2020 and the fall 2020 newsletters went out later than they usually do in order to keep communications clear about the more important aspects of club operations.
Thanks to those of you who contributed to the newsletters. These and other newsletters can be found in the archive in the Documents section of the GYC website.
We had arranged another First Aid session for April 2020 which unfortunately didn’t happen. We did however install an AED in the clubhouse. Thanks to Ralph Suke for his help with this. When it is safe to hold a training session, we plan to offer the First Aid Course again. If you have any interest in other safety, continuing education, or certification courses, please let me know.
There are still a number of people who have not responded regarding who to contact in case there is an emergency with their boat and they cannot be reached. A reminder to all Full Members, you must have TWO Full Members listed as contacts in case there is an emergency with your boat and you cannot be reached. If you have any questions about this please reach out to me or any of your Board of Directors and we’ll be happy to help.
We currently have 104 members in the Georgian Yacht Club Members Facebook Group (link found on the GYC Facebook page at www.facebook.com/GeorgianYachtClub). This is a private group for full and associate members of GYC, meaning your posts and photos are not viewable to the public to protect your privacy. This is proving to be a fun place to share boating stories and ideas, ask questions to fellow club members, and get general updates about what’s going on at the club.
The GYC website (www.georgianyachtclub.com) is where you will get your official updates about club activities, events, and notices To, date we have 196 members registered for the Georgian Yacht Club website. This year (2021) 95 members have logged in, and overall, 35 members have never logged in. If you are having trouble logging on or have questions about how to navigate the website, please reach out.
It would be remiss to end this without mentioning a very dedicated volunteer who is incredibly talented, always contributing, and has helped with all of the behind technical set up and support. A HUGE THANK YOU to Trevor Stokes, your GYC Webmaster, tech support, and programmer extraordinaire.

I am pleased to report on the 2020 fiscal year on behalf of the Board. Our accountant for the 2020 year was Traci Smith, partner with BDO here in Owen Sound.
As a reminder our fiscal year starts November 1 and ends October 31 every year. BDO conducts a review engagement of the financial statements in accordance with the Canadian Accounting Standards.
To provide a brief overview of the year, despite the pandemic the financials for the GYC were relatively stable. Income was short 7112 dollars to plan and expenses were 8564 dollars less than plan resulting in a net revenue from operations 1452 dollars over plan. Total operating revenue was 137,822 dollars down 4724 dollars or 3% from the prior year. Operating expenses totalled 93,044 dollars down 9779 dollars or 9% from the prior year. The primary discrepancy in the 2020 operations is in social activities and committee income and expenses. As a result of the pandemic, neither the income or expenses had any significant activity this year. The total values of both revenue and expenses are consistent with the running 5-year average.
We received 18,240 dollars in initiation that has been transferred to the property improving reserves. Two improvement projects in the budget for 2020 that did not get started have been carried forward to the 2021 budget. This includes the south washroom and upper deck and awning. Improvements to the club totaled 34,204 dollars. Improvement items included 4,000 dollars for kitchen cupboards and 7653 dollars in kitchen renovations. New floating docks for a total of 7809 dollars, 4,055 dollars on clubhouse electrical improvements and 3954 dollars in landscaping.
The clubs cash asset continues to grow modestly, up approximately 1% from the year before. Much of this asset is in GIC’s with allocations for property improvement and future infrastructure. 179,502 dollars is set aside for property improvement and 245,317 dollars for future infrastructure. Unfortunately, we had a large number of GIC’s maturing in the summer with interest rates that had been over 2.5% dropping to the current rates of under 0.5%.
The capital asset accounts, or a list of non-cash assets also increased 3.7% primarily from improvements in buildings, moorings and power and light services. Our total capital assets stand at 1,088,219 dollars.
The year fuel net loss was 358 dollars. This was as a result of losses from a small fuel leak that was contained within the pump system, but the fuel was wasted. There was also a volume of gasoline fuel pumped through the system that was not recorded or purchased.
I would remind all members to be conscientious of their electricity use. In the summer months the club hydro bill can exceed 1200 dollars. This expense also increased 3% in a year that the club house was not used, and rates had been decreased during the pandemic.
On a personal note, I have slowly taken over the Treasurer role from Becky Middlebrook starting at the end of May 2020. I cannot thank Becky enough for all the work and effort she has dedicated to the GYC and the role of Treasurer. She has made the transition very smooth despite the current state we are under as a province.
I would also like to give a big thank you to Brian MacIntosh who has been invoicing all the members. This project started about a year ago has moved the invoicing from the treasurer. Although you still need to send your money to me, Brian is keeping track of who owes what, changes to launch, haul and storage and changes to membership. This process has had some challenges. Many members had their invoice notice go to their junk mailbox and phone numbers went missing. Please ensure for the coming year you have added all of the GYC email addresses to your address book. A list of emails is included on the website under the email accounts/contacting us tab. You can also always view your invoices on the website under the my invoices tab after you have logged into your account. In the long term, this will continue to share the workload during a busy time.

Although it was an unusual one, we gratefully all enjoyed our club this past year. This is simply a summary for Planning in 2019-2020. We were restricted in carrying out plans last year as Covid took hold. We came to realize that the club should have an emergency preparedness document to assist us in the case of an unfortunate serious event at GYC. I am continuing to make progress on this project. Wishing you all an uneventful good season ahead.

What a trying year it has been, between the constant threat of Covid 19 lockdowns to the recent break ins and vandalism at the club. It really has been a trying time for all.
As of the time of this report, we currently have 141 Full Members, 55 associate members, nine of whom are on the A list, and 21 associate members on the B list. Posted upstairs in the clubhouse, you will see that we are still attracting new boater applications wishing to join our club. However, just like all private clubs we must always be aware that membership can drop down at any time. With this in mind we must be diligent in both our recruiting and the retention of members, and especially of our associate members, who are awaiting full membership.
Stated in last year’s report, members expressed a desire for internet service. The board has been successful with this endeavor and will have internet at the club for this coming season.
As a club it will be time to look at obtaining new privileges for our associate members. These associates have always stepped up to help when the calls go out for club work. I think it is time they get some benefits as well. As always, we are mindful of how other clubs operate and what we could do to make our facility better for all.
I would like to remind Full Membership that if you are sponsoring a new associate, please have them fill out the appropriate form and send it to the membership email address of the club membership@georgianyachtclub.com. Applications cannot be considered until membership has logged, signed and dated the application. This process helps keep it fair for all who are applying via chronological order.
With this, let us hope for a normal boating season for 2021 and I look forward to seeing everyone down at the club again soon.

2020 proved to be an interesting year specifically high water levels and as well socially challenging, 2021 is following closely in its footsteps. However around the club the lake level is not and is down this year, I’m told a foot lower than ‘20 highs. For 2020 every dock in the club was at its highest setting and even at that we had some members getting wet feet to use their boats, this year there we should be in better shape. The high water also caused damage to our break wall, revetting and created sinkholes around the property. There were repairs for the revetting and sinkholes completed during summer and break wall repairs that were completed in the fall.
For 2021 I will be changing from Property and Grounds director to Gas Dock

Social Committee and Clubhouse Director, Paul Weitendorf
Thanks to the work of many volunteers, lead by Jamie Nicol and Paul Middlebrook, the Clubhouse has a new kitchen. Its about 30 percent larger than the old one, with new cupboards, countertops, flooring and lighting. As part of this project the clubhouse main electrical panel was also updated.
Sadly, there are no social events to report on in 2020. Better to look forward! The Social Committee is looking forward to seeing you at a GYC event, hopefully in the not-to-distant future.
Regardless of the current situation, we continue to look for new Social Committee members. Being on the committee is a great way to contribute to the Club. Fuel Dock and Safety Director, Harry Hartrick
Saw a few changes at the Fuel Dock, we said goodbye to Kurtis Low, our fuel dock attendant for the last few years and we welcomed Josh Haslem as our new fuel dock attendant. We had a change in gasoline as the regular fuel we had been selling was changed to an E10 blend. We now serve premium fuel which does not contain ethanol A new to us fuel dispenser was installed in May and has made the fuel transaction much easier on both the member and attendant.
High water also took its toll on the dock at the fuel dock, a couple attempts were made to raise the dock however the water just kept on coming. We finally removed the stepped dock and have stored it for when water levels drop. A new rub rail was installed at the dock and has worked out very well. Our pump-out station has worked well for us this season, other than a 50cent fitting that shut us down for a couple of hours.
Of course, the Covid thing also affected our operations and I’d like to thank the Members for following the rules which we were forced to implement. Safety In 2020 we purchased a Defibrillator for the Club and it is installed on the wall by the washrooms in Clubhouse. The fire extinguishers have been maintained through the 2020 season and were not required. That’s Good
We are still seeing the odd oil slick in the club basin and I can only attribute that to oily water being pumped from bilges. I would ask again that Members be kind to our club and ensure that the engine rooms of your boat are free of oil leaks and that any bilge water pumped overboard is clean. A spill kit is available should you require it. It’s the big yellow plastic drum located at the fuel dock.
We also had a boat that was taking on water and fortunately a Member noticed the boat was sitting low in the water. Fortunately, it was pumped out in time and no major issues developed. From this experience, I would recommend that if you will be away from your boat for an extended period of time that you make arrangements for someone to monitor your boat. We have a 2” gas operated water pump (in the garage) as well as a smaller 110volt water pump normally located in the storeroom in Clubhouse however it is upstairs at this time.
Unfortunately, some of the docks were unable to be raised to accommodate the high water of the 2020 season and others were just barely usable. These issues are presently with the board and will be addressed. It would appear that the 2021 boating season will see lower water levels (down approximately one foot from 2020 high water). Refurbishment is planned for the worst docks and should be completed early in the 2021 boating season.

In the Fiscal year of 2020, the Secretary’s duties from May 2020 to Oct 31, 2020 covered my first stretch in this chair and it was a quiet one, especially without Sail past last year.
As part of the routine work, numerous correspondence was received on a variety of matters and were passed on to the Board. Get well cards were sent and donations, in memory of members, were made.
My monthly routine has been to record and post the Minutes of the Board meetings in the clubhouse binder as well as on the website, found in the “Docs” (Documents) section.
Last spring, the Grey Bruce Public Health Unit, Bylaw Department of City of Owen Sound, as well as the Province of Ontario were contacted to gather information to assist the Board in navigating through the early more challenging days of the pandemic.
The website has continued to serve us well as a storehouse, of sorts, for member profiles, a Calendar, lists of docks, boats, emergency contacts, Directors and committees, Club Documents and Minutes of meetings. We are able to create emails and post announcements.
Trevor Stokes established a platform within the website, and then we developed the program to create and send Invoices. This new system provides the opportunity for authorized individuals to access the invoicing program and thereby allowing some of the work of the Treasurer to be divided up. This immediately benefits the Treasurer, allowing more time to focus on other aspects. Peter Struthers, has taken a keen interest in his new role and has been working diligently. I have enjoyed developing and providing the support for this new initiative, and am grateful to have handed this off to the capable Brian MacIntosh.
Looking for new jobs to tackle, I found that the Bylaw document needed some sprucing up. Work began on the amendments of Bylaws and changes to the Rules that have accumulated over the past 11 years, and that work continued on into the winter.
In order to prepare for my first AGM, by referring to the Bylaws, a checklist was devised to assist in preparing for details of the business meeting. This, hopefully, makes next year easier as well as having something to pass on to the incoming Secretary.
Last year, a spreadsheet was created to assist with the work of the new modified crews for Launch and Haul-out. Director Mike Forcier felt that using a planned approach for the time slots helped the crews navigate through their day. Revisions have been made on the time slots for this year, to match the remarkable efficiency of the small work crews of last year.
The routine work done from May 2020 through Oct 2020 I believe, covered the mandate of the position of Secretary, and I trust that the additional work has also benefited the corporation of the Georgian Yacht Club.
